This policy explains how Pilot Passport handles information during its limited beta. The product is designed for verified pilots and uses privacy-preserving defaults.
Information you provide
We process account details such as your email address, display name, selected operator, home base, and privacy preferences. To review pilot eligibility, you may submit certificate details and private company-identification evidence. You may also submit airport claims, aircraft registrations, friend requests, and wishlist choices.
Location and camera use
With your permission, the app may monitor supported airport regions in the background so it can tell you when a badge may be available. A claim sends your current coordinates and accuracy to our service so it can verify that you are inside the airport claim area. Pilot Passport does not publish your precise live location.
Aircraft capture uses the camera or a selected photo to recognize a registration. Recognition may occur on your device. When evidence is uploaded for validation, it is kept in access-controlled storage and is not public by default.
How information is used
- Authenticate accounts and maintain the service.
- Verify pilot eligibility and the integrity of collectible claims.
- Build your passport, aircraft collection, activity, and selected leaderboards.
- Protect against abuse, troubleshoot failures, and improve reliability.
- Send requested sign-in and account-security messages.
Sharing and visibility
Accepted friends may see activity that you choose to share. Named leaderboard participation, operator display, profile discovery, and home-base visibility are independently controlled. Company competition may use aggregated eligible activity without identifying pilots who have disabled named participation. We do not sell personal information.
Service providers
Pilot Passport uses service providers to host data, authenticate users, and deliver transactional email. They process information only to provide those services under their own security and privacy commitments.
Retention and deletion
Information is retained while your beta account is active and as needed for security, integrity, and legal obligations. You can request account or evidence deletion through the beta support channel supplied with your invitation. Some anti-fraud records may be retained in a minimized form when reasonably necessary.
Children and changes
Pilot Passport is intended for adult professional pilots, not children. We may update this policy as the beta evolves; the date above will change when we do.
